Morning QC Check — Step-by-Step Walkthrough

This training guide walks you through a complete Morning QC Check from start to finish. Follow along with your own equipment to practice the workflow.


Before You Start

  1. Gather your tools — thermometer, gas analyzer, or whatever measurement devices you use.
  2. Check the Dashboard — Note any gray or red tiles that need attention.
  3. Select your department — If your lab has departments, make sure the correct one is selected in the sidebar.

Starting the Check

Click Morning QC Check in the sidebar, or click Start Morning QC Check from the Dashboard quick links.

The QC workflow opens to the first piece of equipment (or group) in your configured workflow order.


Entering Readings

Step 1: Read the Equipment Display

Go to the physical equipment and read the current value from its display (e.g., 37.1°C on an incubator).

Step 2: Enter the Value

Type the value into the corresponding field in Impart QMS. Numeric values auto-save about 2 seconds after you stop typing — you can also press Enter or tap Save to save immediately.

Step 3: Check the Indicator

  • Green check — Value is within acceptable range. The workflow advances to the next step automatically (or tap Continue).
  • Red highlight — Value is out of range. A corrective action form appears below the reading.

Step 4: Handle Out-of-Range Values

If a value is out of range, select an action type in the corrective action form. You can either:

  1. Continue to Monitor — Acknowledge the reading and plan to re-check later. Available for minor deviations only (not available for extreme out-of-range, and limited to a set number of uses per parameter in a 30-day period — 7 by default).
  2. Record a Corrective Action — Select what you did (e.g., recalibrated, adjusted gas mix), describe the action, and enter a re-check value to confirm the equipment is back in range. A passing re-check is required for extreme out-of-range values and for action types that require one.

Step 5: Move to Next Equipment

After each parameter saves, the workflow advances to the next step (use Continue if it doesn't advance automatically). Repeat until all equipment is complete.


The Progress Bar

The progress bar at the top of the page shows:

  • How many steps are complete (green segments)
  • How many remain (gray segments)
  • Your current position (highlighted segment)

Click any segment to jump directly to that step.


Using Group Tag Views

If your administrator configured group tag views (e.g., all "Temperature" readings grouped together), you will see multiple equipment parameters on a single step. This lets you check all temperatures across your incubators without navigating to each one individually.


Marking Equipment as Not In Use

If a piece of equipment is temporarily out of service:

  1. Click the Mark not in use button at the top right of the step (shown as N/A on small screens).
  2. The parameter is recorded as Not In Use — Skipped for today and the workflow moves on.
  3. The Dashboard will not count it as incomplete.

If you marked it by mistake, use Record a value instead to enter a reading.


Completing the Check

When all parameters for all equipment are entered:

  1. Return to the Dashboard.
  2. Verify all Morning QC Status tiles are green.
  3. The banner should read: "All equipment QC complete — Lab ready for patient procedures today."

If any tiles are still gray or red, go back and complete or resolve them.


Common Questions

Q: What if I make a mistake entering a value? A: Use Edit value below the saved reading and enter the correct value. The system updates the same entry for that parameter and date.

Q: Can I go back and change a reading from yesterday? A: Staff can only edit same-day entries. Supervisors and above can edit prior entries from QC History, and — when backdated entry is enabled for your organization — can run the full QC workflow for a missed past day via QC History > Enter past QC (up to 30 days back; backfilled entries are audit-logged).

Q: What if I am interrupted during the check? A: All values auto-save as you go. You can close the page and come back later — your progress is preserved.

Q: What if someone else is entering QC at the same time? A: If another user records a parameter while you are entering it, the system shows their saved value instead of overwriting it.

Q: Do I need to complete equipment in order? A: No. You can jump to any step using the progress bar. However, following the configured order is recommended for consistency.
