Getting Started with Impart QMS

Welcome to Impart QMS — the quality management system built specifically for IVF and reproductive medicine laboratories. This guide will help you log in, understand the layout, and know where to find everything.


Logging In

  1. Open your web browser and navigate to the Impart QMS URL provided by your administrator.
  2. Enter your email address and password (your administrator will give you a temporary password).
  3. Click Sign In.

First login? Go to Settings in the sidebar and change your temporary password right away.

If you forget your password, click Forgot Password on the login screen. A reset link will be sent to your email.

Setting up a brand-new lab? Laboratories joining the beta program can self-register from the Register page instead of waiting for an administrator-created account. The first account created becomes the lab's Director and is taken straight to the guided Setup Wizard.


The Dashboard

After signing in, you land on the Dashboard — your daily home screen. At a glance it shows:

  • Open QC Issues — Unresolved out-of-range readings for today. Click to go directly to the Morning QC Check.
  • Maintenance Due — Equipment maintenance tasks due within the next 7 days.
  • Verifications Due — Equipment verifications due within the next 14 days.
  • Morning QC Status — Color-coded tiles for every active piece of equipment, showing today's QC completion status.
  • End-of-Day QC Status — The same view filtered to equipment that requires end-of-day checks.
  • Pending Maintenance & Verifications — A chronological list of upcoming tasks.
  • Quick Links — One-tap shortcuts to start your Morning QC Check, log a quality event, and more.

Recent alerts (out-of-range notifications and overdue task warnings) live in the notification bell in the top bar, where you can dismiss them once acknowledged.


Navigating the Sidebar

The sidebar is your main navigation menu. On desktop it is always visible on the left. On mobile, tap the menu icon (three horizontal lines) in the top-left corner to open it.

Administration (Supervisor and above)

  • Admin Panel — Equipment setup, QC parameters, user management, workflow configuration, and more. Supervisors see the Users page and Setup & Modules; Directors and above see the full admin panel.

Account

  • Settings — Update your display name, change your password, and configure notifications.
  • Billing (Supervisor and above) — Manage your subscription.
  • Sign Out — End your session.

Lab and Department Selectors

If your organization has multiple labs, you will see a Laboratory dropdown near the top of the sidebar. All data on the dashboard and QC pages is scoped to the lab you select.

If your lab has departments (for example, Embryology and Andrology), a Department dropdown appears as well. Selecting a department filters the dashboard and QC views to show only that department's equipment. Directors and Network QA Managers can select All Departments for a full view.


Your Role

Your role determines which features you can access. Roles from most to least access:

Equipment Status Colors

Equipment tiles throughout the system are color-coded:

GreenAll QC checks complete and in range — lab ready for patients
Green + amber iconOut-of-range values were resolved with corrective actions
GrayQC checks are incomplete for the day
RedOut-of-range values require corrective action before patient use

Note: If equipment has 3 or more out-of-range readings in the past 7 days, its tile turns red regardless of today's status — alerting you to a persistent problem.


First-Time Setup (Administrators)

The fastest way to set up a new laboratory is the Setup Wizard at Admin Panel > Setup & Modules (must be enabled by your administrator). It walks you through everything in order — your lab details, departments, your team, your equipment, QC parameters, alert emails, and your first Morning QC — with spreadsheet imports and pre-configured defaults at every step. Prefer to set things up page by page? Follow these steps in order:

  1. Create departments — Go to Admin Panel > Departments and add your lab sections (e.g., Embryology, Andrology).
  2. Create user accounts — Go to Admin Panel > Users to invite your team and assign appropriate roles. Inviting early lets you delegate the remaining steps.
  3. Add equipment — Go to Admin Panel > Equipment and add each piece of equipment. Pre-configured templates for common IVF equipment types are available.
  4. Configure QC parameters — Go to Admin Panel > QC Parameters to review and set acceptable ranges and target values.
  5. Set up the QC workflow — Go to Admin Panel > QC Workflow Order to arrange equipment in the order staff will encounter them.
  6. Configure maintenance schedules — Go to Admin Panel > Equipment and add recurring maintenance tasks for each piece of equipment.
  7. Configure verification schedules — Add periodic verification tasks (thermometer calibrations, pipette checks, etc.) to each equipment record.
  8. Set up quality indicators — Go to Admin Panel > Quality Indicators to configure event categories and thresholds.
  9. Connect PharmaWatch (optional) — If you use PharmaWatch environmental monitoring, go to Admin Panel > PharmaWatch to enter your API credentials, fetch zones, and map them to QC parameters.

Once setup is complete, your staff can begin the Morning QC Check to record daily quality control data.

If you have questions about a feature, contact your laboratory administrator or supervisor. For technical support, reach out to the Impart QMS support team through your organization's designated channel.

The Quick-Action Button

On most pages a floating + button sits in the corner of the screen. It expands into four shortcuts: Log Lot & COA, Employee Binder (opens your binder with the upload form ready), Report Quality Event, and Report a Bug. If something looks broken, use Report a Bug to describe what happened and optionally attach a screenshot — the current page and browser details are included automatically, and your report goes straight to the support team's triage queue. The button stays out of the way on QC data-entry pages so it never covers a reading you're recording.
