Document Control

The Document Control module is the central repository for all controlled documents in your laboratory, including SOPs, protocols, policies, and work instructions. It ensures your lab maintains current, version-tracked documentation in compliance with CAP and state regulatory requirements.


Uploading Documents

Supervisors and above can upload new documents by clicking Upload Document and completing the required fields:

  • Document title and document number
  • Category (SOP, Policy, Protocol, Work Instruction, Form)
  • Effective date and review cycle (typically annual)
  • PDF file attachment

Each upload creates version 1.0 of the document. Subsequent uploads to the same document number increment the version automatically, and previous versions are archived for audit trail purposes.


Annual Review Cycles

Documents are assigned a review date based on their effective date and configured review cycle. The system tracks review status and flags documents approaching or past their review deadline. Supervisors receive dashboard alerts when documents are due for review within 30 days.


Searching and Filtering

Use the search bar to find documents by title, document number, or keyword. Filter by category, status (current, under review, archived), or department to narrow results quickly.


Downloading and Acknowledgment

  • All roles can view and download current documents directly from the document list.
  • After downloading or reviewing a document, staff are prompted to acknowledge they have read and understood it. Acknowledgment records are stored and available for audit review.
  • Supervisors can view acknowledgment status across their team to confirm all staff have reviewed required documents.

Tips

  • Check for pending acknowledgments regularly. Unacknowledged documents appear as tasks on your dashboard.
  • Use category filters to quickly locate the document type you need.
  • Review the version history on any document to see past revisions and their effective dates.
